PURPOSE
The Regional Workshop Committee’s
objective is to promote professionalism and effectiveness of
the disciplines of real property management within the regional
federal public sectors across Canada through the delivery of
a Regional Workshop. Areas of federal real property disciplines
include, Investment Planning and Policy and Project Delivery.
The Atlantic Regional Workshop in June 2009 is a pilot and if
successful will result in future Regional Workshops.
OBJECTIVES
The Regional Workshop Committee shall:
- Determine the current needs, as identified by the regional
members of the real property community;
- Develop and foster a high professional standard of real
property management within the federal public sector through
the delivery of a strong and relevant program at the Regional
Workshop; and,
- Provide delegates with:
- A forum to network the exchange of ideas and experiences
with both the Headquarters and their Regional counterparts
in areas of mutual interest;
- An opportunity to obtain expert advice on matters
of interest specific to their regional community; and,
- A stimulating environment for all delegates and stakeholders
to enhance their knowledge and skills and remain current
with what's happening at Headquarters in the federal,
provincial and municipal governments as well as the private
real property sectors.
RELATIONSHIP TO OTHER COMMITTEES
The Committee reports to the President.
The Committee works closely with the Community Development and
Outreach Program, the Professional Development Definition Program
and the Fundraising and Finance Committees. The Committee receives
assistance from the Executive Secretary.
ROLES AND RESPONSIBILITIES
The Committee strives to fulfill its mandate
through the following activities:
- Develop and manage an annual work plan as approved by the
Board of Directors complete with scope, budget, timelines,
key outcomes and monthly updates on matters pertaining to the
Regional Workshop;
- Strike a committee that may include RPIC Board Directors,
federal employees, regional counterparts and/or volunteers
who have an interest in the field of real property management;
- The Real Property Regional Workshop Chair will assume the
strategic direction of the planning of the Regional Workshop
and serve as a liaison with the RPIC Board of Directors for
all workshop updates and Board approvals; and,
- The Committee Chair to lead in the planning and staging
of a Regional Workshop. Length and format of the workshop shall
be determined on an annual basis and approved by the Board
of Directors.
SECRETARIAT
The Willow Group will be responsible to
support the Regional Workshop Committee, including the following:
- Develop and maintain a workshop budget and critical path;
- Prepare minutes of the Workshop Committee’s meetings
which are approved by the Chair prior to distribution to Committee
Members;
- Manage all logistical requirements, including facility,
food and beverage, audio visual, simultaneous interpretation,
gala dinner facility, transportation, entertainment, etc.;
- Manage promotional requirements, including pre-press production,
translation and graphic design for distribution via print,
e-mail and web;
- Manage the development of the program based on direction
from the Committee;
- Liaise with speakers, i.e., sending confirmation of their
participation, obtain a/v needs, obtain presentations, expenses,
special requirements, etc.;
- Manage the registration of delegates including all financial
aspects (create a registration dbase, issue an invoice, confirmation
or receipt to registrants, produce registration reports as
required, produce financial reports as required, produce names
tags;
- Manage on-site needs, including volunteers; and,
- Any other such duties as shall be required from time to
time.
